This area covers all software and systems aiming to streamline government functions through the use of workflow systems and imaging.  It is also responsible for systems in various high level and independently elected agencies, i.e., the Board of Legislators, the County Clerk, Board of Elections, and the office of the County Executive.

CE Forms

DoIT developed automated forms for the Office of the County Executive to bolster productivity and efficiency.  Travel Authorization and Short Form Contracts forms have already been completed and are now in the testing phase.  DoIT is awaiting approval for the implementation of the Travel Authorization form.

CE Correspondence System

This project creates an automated and streamlined workflow of CE mail to Department Commissioners.  Recently, a new form was designed; the e-mail notice was automated; and the web page was reformatted.  The next step before final implementation is the testing and setting up of the final web page and department security.

Workflow Systems

There is growing pressure at all levels of government to find news ways of managing seemingly immeasurable volumes of paper and information.  New information is being generated daily and adding to the already vast information knowledge base.  Because of that, local government is expected to develop highly sophisticated information access and service to deliver information to its constituents. 

Faced with the need to provide timely access to information at low costs, DoIT works to identify optimal technologies to deliver and manage better services now and into the future.  OnBase Workflow is one such technology  that enables users to process work more efficiently, faster, and more accurately than with traditional paper processing.  A number of operations are streamlined by this system, ranging from application processing to managing remittance processing. 

With our workflow system, users or integrators define and configure document states, rules, actions, and lifecycles with a Windows interface.  Once configured, workflow instantly routes documents through the business process as each increment of user or system work is completed.  The following advanced features are supported by OnBase Workflow: alternate routing logic, automatic criteria calculation, rendezvous, simultaneous notification, load balancing, reporting, ad hoc workflow, VB scripting, and API functionality for integration with core legacy or ERP/CRM systems. 

Another benefit of our workflow system is that much of the normally required programming required by traditional workflow systems has been eliminated.  OnBase Workflow is entirely point-and-click configurable and has been designed to allow for quick implementation. 

We provide general support for the implemented Workflow applications throughout the County Departments.  Current production workflow applications include: Travel Authorization Request, Short Form Contract, Budget Vacancy Release Form, DSS CTS, DSS Case Management, DSS Corespondance Tracking, CE CTS, IT Security Request Form, HR Position Certification Release form, and HR Salary Exception Request.

Imaging Systems

We will provide general support for the implemented Imaging applications throughout the County Departments. Current production imaging applications are Finance Accounts Payable, Finance CRQs, Finance Contracts, EEO Office – Cases, DSS Managed Care, DSS Case Management, CE Correspondence Tracking, CE Scanning, DSS Correspondence Tracking, Health SCDs, County Clerk Land, and County Clerk Legal.

DoIT is also responsible for the development of new Imaging applications as requested throughout the County departments.

Board of Elections

This will provide support to the Board of Election in all the activities involved in conducting an election, maintaining and supporting their voter registration system, and supporting the campaign finance application.

Consumers Affairs

We will providing necessary support as required to maintain the consumer information applications currently available to the general public and the department. This includes producing various reports as required.

Conversion of Records Center Access Databases to SQL Server

We need to convert and replace several ACCESS databases currently in use at the Records Center. These include the Maps index, the Archives internal indices, and the indices to marriage and naturalization records.
